Approving an Invoice
An invoice must always be approved before it can be printed or sent. Invoice approval permissions are defined in the user settings. The approver can be a different person within the company, but it can also be the creator of the invoice.
Note: When an invoice is in the Under review state, it can also be voided. An agent can void invoices they have created themselves without any special permissions. Voiding an invoice created by another agent requires the Managing company's billing permission to be enabled.
When an invoice is approved, an invoice number and a reference number are generated. Please note that after approval, only the commission split can be edited on the invoice.
If the brokerage uses a billing integration, the next available invoice number is fetched from the integrated accounting system, and the invoice is transferred to the accounting system upon approval.
Other Invoice Management Actions
- You can open a quick view of the invoice by clicking the invoice box.
- You can delete an invoice that is in the Draft state by pressing the three dots in the upper right corner.
- Through the three dots, you can Download the invoice in PDF format to your computer and, if necessary, create a credit invoice using the Create Compensation Invoice button.
- You can mark an approved invoice as paid by clicking the Mark as Paid button.
- An invoice marked as Paid can be returned to the Accepted state via the Mark as Unpaid button found under the three dots.
- For both Approved and Paid invoices, you can later edit the commission splits of the invoice lines if needed, via the three-dot menu.
