Activating an inspection
The person responsible for the assignment activates the inspection via the Send for inspection button.
Users designated as inspectors receive an email notification about a new listing to review. The listing status is also updated to indicate that it is awaiting inspection, for example Publishing under review.
The inspector can use the Under review filter on the listings page to see all listings waiting for inspection. Before doing this, it is advisable to check that the Only own toggle is off, so the inspector can see all listings within the company.
Any person designated as an inspector for the real estate agency can inspect the listing by clicking the Perform inspection button. After this, the inspector can either Approve or Reject the listing under inspection.
During the inspection, the inspector may also leave a comment for the agent handling the assignment. If the listing still requires corrections and the inspection is rejected, the agent can make the necessary updates based on the inspector’s feedback.
NOTE: If the inspector is assigned as an inspector in multiple environments (companies), the active environment must match the environment in which the listing was created. If the listing shows "Cancel" during inspection, first ensure that the correct environment is active in the top right corner.
Inspection checkpoints
If the agency has activated the inspection feature, inspections must be completed at all three checkpoints:
-
Publication inspection – Before the agent can publish the listing, the inspector reviews that everything is ready for publication. The inspector may check, for example, the listing details and related documents to the extent they see necessary. The listing cannot be published until it has passed inspection.
-
Sales contract inspection (sales listings only) – Before the transaction, the agent must send the sales contract for inspection. The contract can be attached to the inspection as a .doc, .docx or .pdf file. If the file is added in a non-PDF format, the inspector can make edits to it directly using Word or another text-editing tool if needed. Additional documents relevant to the transaction, such as the brokerage fee invoice, may also be attached.
The inspector reviews the attached documents to the extent they consider necessary, makes any required changes to the sales contract, and returns it with comments. All documents attached to the inspection are automatically saved in the listing’s Archive.
-
Transaction / listing completion inspection – After the sale or rental agreement has been made, and before the listing can be completed, a final inspection is performed. In this step, the agent sends the listing for inspection. The purpose is to ensure that all actions required by the assignment have been properly completed. These may include, for example: archiving essential documents in Linear, submitting the transfer tax notification, and delivering necessary documents to the property manager.
Once the inspector has reviewed the listing and approved the completion, the listing can be closed and marked as Sold or Rented. The actual completion of the listing may be done either by the inspector or the agent, depending on the company’s internal policy.
