You can submit the transfer tax notification for a listing from the Trading tab on the listing card once the listing status is Reserved and the transaction details have been completed.
NOTE: For real properties, the agent does not need to fill in the transfer tax notification on behalf of the buyers.
Retrieving payment references
By clicking Start filling in the VSV report you can retrieve the payment references for the buyer(s). The system automatically fills in the form with details from the transaction details section, but please verify for example the correctness of the ownership shares and, if needed, correct the information also in the transaction details.
NOTE: If the transaction is completed via DIAS, payment references do not need to be retrieved in Linear beforehand. In DIAS, the banks automatically retrieve the buyers’ reference numbers. If desired, the agent may still retrieve the payment references in advance before a DIAS transaction and provide them to the buyer. In this case, it is important to emphasise to the clients that the banks will pay the transfer tax during the DIAS transaction, so the buyer must not pay it independently.
If needed, you can also add an additional asset type to the VSV notification, for example if a parking space is included in the sale together with the apartment. Please make sure in such cases that only the sales price of the apartment is entered on the transaction details so that transfer tax for the parking space is not paid twice.
Click Save once you have reviewed and/or filled in the information.
NOTE: If the buyer is a corporate customer and the retrieval of payment details fails, we recommend contacting the Finnish Tax Administration directly. It is possible that the company is so new that it is not yet listed in the Tax Administration’s register, which may cause the data retrieval to fail.
Downloading and sending the payment details
Once the payment references have been retrieved, you can:
- If needed, edit the notification.
- Send the payment details to the buyer for review (remind the client if needed that the payment is made only at the time of the transaction).
- Download the payment details to your device, for example to print for the signing appointment.
Please note that the payment details include payment instructions for the Tax Administration for both Danske Bank and Nordea accounts. If necessary, it may be worth pointing this out to an eager bank clerk at the signing appointment to prevent the tax from being accidentally paid to both accounts on behalf of the buyer.
Submitting the transfer tax notification
Once the transaction has been completed and the transfer tax has been paid, you can submit the notification from Linear by clicking Preview report and submit. The notification cannot be sent to the Tax Administration before the actual date of sale, so update the date of sale in the transaction details if needed.
NOTE: For DIAS transactions, the actual date of sale is automatically updated to the transaction details after all parties have signed the deed of sale in DIAS.
Carefully review the information and, if everything looks correct, click Send report in the bottom corner and confirm the submission by selecting Yes, send the reports.
NOTE: On mobile devices, submitting the transfer tax notification works slightly differently than on a computer. On mobile devices, you must first use a separate button to preview the notification, and the submit button becomes active only after the preview. This is intentional to ensure that agents can review the document before submitting it. Therefore, check that your mobile browser settings do not block PDF downloads. Additionally, the device must have an application capable of opening and viewing PDF files. If you encounter issues downloading or opening the PDF, review your browser settings and ensure you have a suitable PDF reader installed.
Certificate of submitted transfer tax notification
Once the transfer tax notification has been submitted to the Tax Administration, you can:
- Send the certificate of the VSV notification to the buyers. This way the client also has it stored in case they need it before finding it in MyTax.
- Submit a replacement notification if any errors have been discovered in the original notification.
- Download all VSV notifications to your device so that the certificate of the paid transfer tax can be sent to the property manager.
