You can create the transfer tax return (VSV report) for a listing from the listing card’s Transaction tab once the listing status is Reserved and the listing’s closing statement has been filled in.
NOTE: For real estate properties, the agent does not need to file the VSV report on behalf of the buyers.
Fetching payment references
By clicking Start filling in the VSV report, you can fetch the payment references for the buyer(s). The system automatically pre-fills the form with the details from the closing statement, but please still double-check e.g. that the ownership shares are correct and, if needed, correct the information also in the closing statement.
NOTE: If the transaction is completed via DIAS, you do not need to fetch the payment references in Linear in advance. In DIAS, the banks retrieve the buyers’ reference numbers automatically. If they wish, the agent can still fetch the payment references in advance before the DIAS transaction and provide them to the buyer. In that case, it is important to emphasize to the customer that the banks pay the transfer tax during the DIAS transaction, so the buyer should not pay it themselves.
If needed, you can also add a second asset type to the VSV report if, for example, the sale includes a parking space in addition to the apartment. In that case, please make sure that only the apartment’s purchase price is entered in the closing statement, so that transfer tax for the parking space is not paid twice.
Click Save once you have reviewed / completed the details.
NOTE: If the buyer is a corporate customer and fetching the payment details fails, we recommend contacting the Finnish Tax Administration directly. The company may be so new that it is not yet listed in the Tax Administration’s register, in which case fetching the payment details will fail.
Downloading and sending payment details
Once the payment references have been fetched, you can:
- If needed, still edit the report.
- Send payment details to the buyer for review (and, if needed, remind the customer that the payment is made only in connection with closing).
- Download payment details to your device, e.g. to print for the closing meeting.
Please note that the payment details include payment instructions to the Finnish Tax Administration for accounts in both Danske Bank and Nordea. If necessary, it’s worth pointing this out at closing to an over-eager bank representative so they don’t accidentally pay the tax to both accounts on the buyer’s behalf.
Submitting the transfer tax return
Once the transaction has been completed and the transfer tax returns have been paid, you can submit the return from Linear by clicking Preview report and send. The return cannot be submitted to the Finnish Tax Administration before the actual date of sale, so if needed, update the date of sale in the closing statement.
NOTE: In DIAS transactions, the actual date of sale is updated automatically in the closing statement after all parties have signed the deed of sale in DIAS.
Carefully review the details one more time and, if everything looks correct, click Send report in the bottom corner and then confirm by selecting Yes, send the reports.
NOTE: On mobile devices, submitting the transfer tax return works slightly differently than on a computer. On mobile devices, you must first use a separate button to preview the report, and the send button will only become active after the preview. This is designed to ensure that agents can review the document before sending it. Therefore, check that your mobile browser settings do not prevent PDF files from being downloaded. In addition, the device must have an app capable of opening and viewing PDF files. If you encounter issues downloading or opening the PDF, check your browser settings and make sure you have a suitable PDF reader installed.
Certificate of a submitted transfer tax return
Once the transfer tax return has been submitted to the Finnish Tax Administration, you can:
- Send the VSV report certificate to the buyers. This way the customer also has it saved in case they need it before they find it in MyTax (OmaVero).
- Create a replacement return if any errors are found in the submitted return.
- Download all VSV reports to your device, so the certificate of paid transfer tax can be sent to the property manager.
