Setting up the Outlook calendar integration requires a valid Microsoft account.
Once the company has enabled calendar integration, the agent can activate the integration and adjust its settings and scope:
- Open the calendar view by clicking the calendar icon in the top right corner.
- Click Activate the calendar integration.
- A user settings view will now open on the right side, allowing you to synchronize (connect) your personal calendar with the Linear calendar.
- Select which events recorded in Linear you want to update to your personal calendar: Tasks, Meetings, and/or Showings. We recommend keeping all event types active to ensure your Outlook calendar stays fully up-to-date.
- By activating Retroactive synchronization, all events recorded in Linear within the last 30 days (and selected above) will be updated to your personal calendar.
- You can choose whether to import events from your personal (Outlook) calendar, such as vacation entries or dentist appointments, into the Linear calendar. Other users will not see the events from the linked calendar in Linear.
- Choose whether to create a new calendar view for Linear events to clearly separate personal events from your Outlook calendar. This allows you to keep work and personal matters distinct. If you use an electronic booking calendar or want your colleagues to see your calendar events, we recommend not selecting this option.
- After selecting your desired options, click Sign in with Microsoft account.
Follow Microsoft's instructions in your browser and log in to Microsoft Office (Outlook) using your email address and password. After logging in, accept the integration between Microsoft and the Linear calendar. If you have multiple Microsoft accounts, ensure you log in with the account corresponding to your Linear user.
After acceptance, a pop-up message should appear in Linear confirming that the integration has been established.
NOTE: Synchronizing calendars will take several minutes after setup, meaning old and new events will not immediately update from one calendar to another. This delay only applies to the initial setup; there will be no similar delay when recording new events in the future.
Once the calendars are synchronized, and if you selected Create a new calendar view for Linear events (step 7 in the image above), a new calendar named Linear: [Your Name] will appear in Outlook. Events created in Linear will only be visible in the Outlook calendar if the Linear calendar is activated. Activate Linear calendar events by clicking the "check" mark (✅) in front of its name.
NOTE: If, during calendar integration setup, you activated both Display events from the integrated calendar in the Linear calendar (step 6 in the image above) and Create a new calendar view for Linear events (step 7 in the image above), it is important to create your personal calendar events, such as doctor appointments, in your main calendar (in the example image, "Calendar," located above birthdays). If you add events to the "Linear: Jarkko Toikkanen" calendar in Outlook, they will not be saved to the Linear calendar visible to others.
