Once the company has enabled the calendar integration, the agent can activate the integration and adjust its settings and scope:
- Open the calendar view by clicking the calendar icon in the top-right corner.
- Click Activate the calendar integration.
- A user settings panel will open on the right. From there, you can sync (connect) your personal calendar with Linear’s calendar.
- Select which events created in Linear you want to sync to your personal calendar: Tasks, Meetings and/or Showings. We recommend enabling all event types so your Gmail calendar stays fully up to date.
- By enabling Takautuva synkronisointi, all events created in Linear during the last 30 days (that you selected above) will be synced to your personal calendar.
- You can choose whether you also want to import events from your (Gmail) calendar into Linear’s calendar, such as vacation entries and dentist appointments. Other users will not see the events of your connected calendar in Linear.
- Choose whether you want to create a new calendar view for Linear events, so you can clearly separate personal events from your Gmail calendar. This helps keep work and personal matters separate. If you use an online booking calendar or want your colleagues to see your calendar events, we recommend leaving this option disabled.
- After selecting the options you want, click Sign in with Google.
Then follow Google’s instructions in your browser and sign in to Gmail using your email address and password. After signing in, approve the integration between Google and the Linear calendar:
After approval, a pop-up message should appear in Linear confirming that the integration has been set up.
NOTE: Calendar syncing will still take a few minutes after this, so old and new events will not update immediately from one calendar to the other. This delay only applies to the initial setup—going forward, new events you create will sync without a similar delay.
Once the calendars have synced—and if you selected Create a new calendar view for your Linear calendar (item 7 in the image above)—a new calendar named Linear: [Your name] will appear in Gmail. Events created in Linear will only appear in Gmail if the Linear calendar is enabled/visible. To show Linear calendar events, click the checkbox in front of the calendar name.
NOTE: If, when creating the calendar integration, you enabled both Display events from the integrated calendar in the Linear calendar (item 6 in the image above) and Create a new calendar view for your Linear calendar (item 7 in the image above), it’s important that you create your personal calendar events (e.g., a doctor’s appointment) in your primary calendar (in the example image: “Jarkko Toikkanen”). If you add events in Gmail to the “Linear: Jarkko Toikkanen” calendar, they will not be saved to the calendar shown in Linear.
