General
When you create a search alert for a client, the system automatically begins looking for matching results. Immediately after saving the alert, you can already see whether any matches have been found. From that point on, the system checks every new listing to determine whether it matches the criteria of existing search alerts and notifies you of any hits.
Search alert matches are displayed in Linear in the following locations:
- Client Register when using the Compact view.
- Client Card, where you can edit client details as well as add or modify search alerts.
- Listing View when using the Card or Compact view.
- Listing Card in the Trading / Tenants tab, under the Buyer and Rental Applicants sections.
In addition, Linear automatically sends the listing's agent an email about any new search alert matches. If the same listing matches multiple clients’ alerts, all matches are combined into one notification.
If you wish, you can disable these email notifications:
User settings → General tab → Email notifications for search alert matches (remove the checkmark).
Notes regarding search alert matches:
- Access rights: You can only see search alert matches for clients you have permission to view. For example, you cannot see matches for your colleagues’ clients unless those clients are visible in your own client register.
-
Criteria requirements: At the moment, search alert matches are shown only when all criteria of the alert are met. For example, if you have set five criteria, a listing must match all five to generate a hit.
→ Improvements to this feature are planned, which will allow you to see matches even if not all criteria are met. - Listing status: The system only generates search alert matches from active listings. Listings with a status such as Sold, Rented or Reserved do not produce matches.
Search alerts and matches in the Client Register
In the Client Register, you can already see key information about search alerts at a glance:
- Use the Compact view to see information related to search alert matches.
- If a client has search alert matches, an icon will appear next to their name. Click the icon to open a window showing which listings the matches relate to. Clicking a listing’s address will take you directly to that listing’s details.
- If there is no icon next to the client’s name, the client does not have an active search alert. You can create one if needed: create a new search alert.
- If “0 search alert matches” is shown next to the client’s name, the client does have a search alert, but no matches have been found yet.
Search alert matches on the Client Card
On the Client Card, you can not only create and edit search alerts but also see any matches found for them.
You can click the match icon to open a window showing the listings that meet the alert criteria.
- Click the listing’s address to open the listing details.
- Click the address row (but not directly the address) to open a view that shows which criteria match the listing.
Click Add as candidate if you want to link the customer as a buyer or tenant candidate for the listing.
Match alerts in the listing view
Listing match alerts are shown in the Listings page.
- Use the Card or Compact view to see information related to match alerts.
- The number shown after the listing’s address indicates how many customers’ match alerts the listing matches. By clicking the match icon, you can view the list of customers whose search criteria the listing meets. In the pop-up, you can move to the customer card by clicking the customer’s name, or click the icon next to the name to view additional information about their search criteria and see their assigned agent.
Match alerts on the listing card
On the Trading tab of the listing card, you can see Buyer Candidates if the listing has match alerts. For rental listings, match alerts can be found on the Tenants tab under Tenant Candidates.
Clicking the View button opens additional details related to match alerts.
After opening the match alerts:
- You can choose whether the results are shown by creation date from newest to oldest (New view) or ordered by how many criteria the listing matches (Most relevant view).
- Hover over the customer’s name to view their contact details. By clicking the name, you will be taken to the customer card.
- You can see how many of the customer’s search criteria the listing meets. For example, one alert may match seven criteria, while another matches six. The more criteria are met, the more relevant the match.
NOTE: Currently, match alerts are only shown when all of the alert’s criteria are met (e.g., 7/7). In the future, the feature will include the option to view partial matches, such as when a listing meets 6/7 criteria. - The date indicates when the alert was created or last edited.
- By clicking Add as candidate, you can add the customer as a buyer or tenant candidate for the listing.
