Invoices created in Linear can be transferred directly to Procountor’s financial management system through the invoicing integration. This streamlines bookkeeping and accounts receivable management, as the invoice details become automatically available in Procountor.
The data flow between Linear and Procountor is one-way: invoice information is transferred from Linear to Procountor, but payment information recorded against the invoice does not automatically return to Linear. If payment status needs to be visible in Linear as well, the invoice must be manually marked as paid in Linear.
It is important that all invoice corrections and credit invoices are created in Linear, not in Procountor. This ensures that, for example, the invoicing table in the Reporting view stays up to date with Procountor’s data, and that any sales commissions based on the invoicing table are calculated correctly.
Note: An exception to the one-way data flow is retrieving the next available invoice number from Procountor into Linear.
When creating an invoice in Linear, consider the following:
- Under review status:
When an invoice is created and its status is Under review, it has not yet been transferred to Procountor. At this stage, the invoice can still be freely edited in Linear. - Approval and transfer:
When the invoice is approved, a reference number is generated along with the next available invoice number retrieved from Procountor. At the same time, the invoice is transferred to Procountor. - Invoice status in Procountor:
After approval, the invoice appears in Procountor with the status In progress. - Printing and sending the invoice:
The invoice can be printed, for example for a sale, either from Linear or Procountor.
Sending an e-invoice is only possible from Procountor. - Recording a payment:
In Procountor, the invoice status is automatically updated to Paid when a bank receives the reference payment.
In Linear, the invoice must be marked as paid manually by selecting Mark as Paid on the invoice. - Correcting an invoice:
If invoice details, such as the commission amount, need to be changed after the invoice has already been transferred to Procountor, a credit invoice must be created in Linear for the original invoice, followed by a new invoice with the correct details.
Commission splits recorded on the invoice (e.g., for brokerage commissions) can, however, still be edited in Linear even after the invoice has been transferred to Procountor.
Activating the Procountor invoicing integration
(If needed, please contact your accounting firm/bookkeeper regarding enabling the connections.)
- Follow steps 1–3 in the Procountor guide.
- Follow the Procountor guide section on M2M authentication and create a new API key in Procountor.
- When you are required to enter the “Client identifier”, fill in:
LinearClient - Provide Linear with the API key you receive from Procountor by selecting the Linear identifier and clicking “Copy API key to clipboard”.
- Linear will notify you once all the required information from Procountor has been added to Linear and the integration has been activated.
