This article explains what the client portal is and how to enable it in Linear. Enabling the portal is a one-time setup: once your company’s main admin turns on the client portal, it becomes available for all of the company’s listings, and after that it runs automatically in the background. You don’t need to build a separate view for the client—the system automatically compiles the listing information into the portal.
For end customers (sellers and buyers), the portal is shown as My pages. Within Linear, it’s referred to as the client portal.
Overview
The client portal is a site for sellers, buyers, and prospective buyers where they can follow listing details, viewings, their own offers, and documents shared with them throughout the sales process. The portal updates automatically whenever listing information is updated in Linear. The client will see the latest information the next time they open the portal.
What the client portal takes care of for you:
- The client can view listing details, photos, and viewing times in one place.
- Viewing times are shown in chronological order without requiring a separate message.
- The client can view their own offers and any attachments based on their role.
- Shared and signed documents remain easily accessible throughout the sales process.
- The client stays up to date on essential information without separate emails or phone calls.
The content shown to the client updates whenever they open the portal again. If you make changes in Linear, the client will see them the next time they log in to the portal.
Good to know: The client does not need to register separately or authenticate using online banking credentials. They log in using an invitation link sent to their email and a one-time PIN code.
Prerequisites
Most common prerequisites
- The client portal is enabled in Linear. Activation is done by the company’s main admin in the company settings.
- The client has an email address added in their contact details. The invitation link and one-time PIN code are sent to this email address.
- The client is a private individual. The portal is intended for private customers.
Special cases
Business customers and estates of the deceased: The client portal link cannot be sent directly to business customers or estates. Instead, links are sent to the company’s contact persons or to the shareholders/beneficiaries of the estate.
Rental listings: The client portal cannot yet be used for rental listings.
Country-specific differences: The client portal works in all countries where Linear is available, but some of the automatic invitation conditions and the partner benefits in the Checklist are only available in Finland.
Enabling the client portal
The client portal is enabled once at the company level. After activation, the Client portal section will appear on all listing cards where the listing is for sale.
Where to find the setting
Client portal settings are found in Company settings under Integrations, in Client portal. Changing this setting requires the user to have permission to edit company settings in Linear.
Setup
- Open Company settings.
- Go to Integrations > Client portal.
- Make sure Enable client portal is turned on.
- Select the automatic invitation conditions you want.
- Save your changes.
After activation, the Client portal section will appear on each for-sale listing’s listing card, and you can start inviting clients.
Good to know: When you enable the portal and select automatic invitation conditions, the system will also go through existing active listings and create invitations for clients who meet the selected criteria. So setup doesn’t apply only to new listings.
Automatic invitations
You can invite a client to the portal manually from the listing card’s Summary and Transaction tabs, or let the system do it automatically. Automatic invitations are selected in company settings in the same Client portal section, under The invitation to the client portal is sent automatically to clients when one of the events below occurs.
There are three conditions available, and each can be turned on or off separately:
- Client added as a potential buyer: the prospective buyer is invited when they are marked as a potential buyer on the listing
- Commission signed: the seller(s) are invited when the sales commission agreement has been signed (available in Finland only)
- Purchase offer created: the buyer(s) are invited when a purchase offer has been created in their name for the listing (available in Finland only)
Tip: If you want your whole company to use the client portal consistently, it’s a good idea to select the automatic triggers all at once. That way, all clients receive the client portal link at the same stage of the process, and invitations won’t depend on an individual agent remembering to send them.
Branding, language, and partner benefits in the checklist
Company logo and colours
The client portal logo and the company’s brand colours are automatically pulled from the company settings. This ensures your company branding is also visible to end users in the client portal.
Language
The client portal language is determined by the language set in the client’s CRM details.
Checklist and the Fortum benefit
The portal’s Checklist tab can display partner benefits that add value for the client. Currently, a Fortum electricity contract benefit is available, which you can enable in the company settings under Client portal by selecting Enable Fortum benefits.
Good to know: The company receives a commission for the Fortum benefit, which is paid quarterly as a single consolidated payment to the company’s bank account. More detailed terms are shown in Settings in the Fortum section.
The checklist may also show additional information about IF’s legal expenses insurance, if your company has this free benefit enabled in Linear. This is not a client portal-specific setting; it comes from a separate IF integration.
The Checklist tab is only visible to clients in Finland, and only when at least one of its contents (the Fortum benefit or IF legal expenses insurance) is enabled.
Most common issues
Most setups work smoothly on the first try. Below are some possible issues and how to resolve them.
The client portal section is not visible on the listing card
The company most likely hasn’t enabled the client portal yet.
- In the company settings, under Integrations, check whether Enable client portal is turned on
- If you don’t have permission to change company settings, ask your company admin to enable the portal
- If the setting is already on but the section still doesn’t appear, refresh the page and, if necessary, log out and back in to Linear
After enabling the feature, invitations were not created for older listings
When enabling the feature, the system creates invitations for existing active listings only based on the conditions you selected as automatic. Check the following:
- Did you select any automatic triggers? Simply enabling the portal does not send invitations yet
- Do the listing’s clients meet the trigger conditions (for example, Purchase offer created applies only to listings where a purchase offer has been made)?
- Is the trigger Finland-specific (Commission signed and Purchase offer created are available in Finland)?
You can always invite missing clients manually from the listing card.
The Fortum benefit or the checklist is not visible to the client
Check, in order:
- The listing is in Finland (Checklist is only available in Finland).
- Enable Fortum benefits is enabled in the company settings, or the company has the IF legal expenses insurance integration active.
- The client has reopened the portal after the change.
I want to disable the portal
For an individual listing, access is controlled through invitations: if no invitations have been sent, nobody can access the listing’s portal. At the company level, the portal can be disabled in the company settings. If you’re unsure about the impact, we recommend contacting Linear support before making a company-wide change.
Frequently asked questions
Who can enable the client portal?
The company’s main user (admin) who has permission to edit the company settings. Activation is done in the Integrations section of the company settings—not on an individual listing.
Do I need to enable the portal separately for each listing?
No. The portal is enabled once at the company level, after which it is available for all sales listings. Visibility for a specific listing is managed through invitations.
Will the portal become visible immediately for all agents?
Yes. Once the portal is enabled, the Client portal section will appear on the listing cards for all agents in the company.
What’s the difference between automatic and manual invitations?
Automatic invitations are sent at the points you select in the process, without any separate action. Manual invitations are created by you from the listing card whenever you want. You can use both in parallel.
Can the Fortum benefit and the portal itself be enabled separately?
Yes. Enable client portal and Enable Fortum benefits are separate options. The portal works without the Fortum benefit, and you can enable the Fortum benefit later.
Does the portal work in countries other than Finland?
The portal itself works in all countries where Linear is available. Some automatic invitation conditions (Commission signed, Purchase offer created) and the Checklist partner benefits are currently only available in Finland.
