In this article, you’ll learn how to invite a client to the client portal and how they sign in for the first time. Once an invitation has been created, the client receives an invitation link by email and signs in to the portal using a single-use PIN code. No registration or online banking credentials are required.
It is the agent’s responsibility to make sure the client’s email address is correctly saved in Linear and, if needed, to send the invitation if it isn’t automated.
For clients, the client portal is shown as My pages. In Linear, it is referred to as Client portal. This article is intended for agents who invite clients to the portal and, if necessary, help them sign in.
Overview
Access to the client portal consists of two steps:
- Invitation, where a personal link is created for the client and sent to their email address
- Sign-in, where the client verifies their identity with a single-use PIN code before the portal opens
The invitation can be sent automatically based on rules defined by your company, or it can be sent manually from the listing card. Regardless of how it’s sent, the client receives the same invitation email and signs in to the portal in the same way.
Good to know: The client will receive two separate emails. The first email contains the invitation link to My pages. When the client opens the link, they will be sent a second email containing the single-use PIN code for signing in.
Who can be invited to the portal
The client portal is intended for private individual clients. At the moment, business clients or estates of a deceased person cannot be invited to the client portal, but their contact persons and stakeholders can be invited.
Client roles
A client is invited to the client portal with one of the following roles:
- Seller – follows the sale of their own property, viewings, and purchase offers.
- Buyer – follows their own buying process, their purchase offers, and related documents.
NOTE: The client portal invitation link is always listing-specific. The same person can use the client portal in different roles on different listings, and each listing has its own invitation link. The link always takes the client to the correct listing information.
Who appears as inviteable
In the listing’s Client portal section, Linear automatically shows the clients who can be invited to the portal:
- Sellers – the sellers marked on the assignment.
- Buyers – clients who have submitted a purchase offer or have been marked as potential buyers.
Good to know: For a client to appear on the invite list, they must have an email address and their client type must be set to private individual. If the client is marked as a company or an estate of a deceased person, or if the email address is missing, they won’t appear on the list.
Creating and managing invitations
Client portal section on the listing card
Open the listing card and find the Client portal section on the listing’s Summary or Transaction tab. On the Summary tab, it’s located on the left next to the listing’s internal notes. On the Transaction tab, the client portal dashboard can be found in the Potential buyer section, next to the listing lead.
The invitation management window opens from the edit and Manage button.
Invitation management window
In the invitation management window, you can see the clients identified for the listing and the client portal invitations created for them, if any have already been created. For each client, you’ll see their name and role. Hover over the client’s name to view more detailed information, such as their contact details.
Actions:
- Invite client – select the checkbox in front of the client’s name and click Save. The system will then create a client portal invitation for the client and automatically send the invitation email to their email address. You can create invitations for multiple clients at the same time.
- Remove access – clear the checkbox in front of the client’s name and save your changes. The client’s access to the client portal will end and all active sign-in sessions will be closed.
- Resend invitation – sends the invitation email again, for example if the original message was lost.
- Copy invitation link – you can copy the client’s personal client portal invitation link using the button on the right side of the row. This lets you send the link to the client, for example from your own email or by text message.
Tip: Before sending an invitation, make sure the client’s email address is up to date. The invitation email is sent to the email address saved for the client at the time the invitation is sent.
Automatic invitations
If automatic invitations are enabled for your company, Linear will send a My Pages (customer portal) invitation automatically when the selected conditions are met. For example, an invitation can be sent when a customer is added as a buyer candidate, an assignment agreement is signed, or a purchase offer is created.
The conditions for automatic invitations are defined in the company settings. If needed, you can always send an invitation manually as well.
Removing an invitation
When you remove a customer’s invitation, their access to the customer portal ends immediately and any open sessions will be closed.
If you want to grant the customer access again later, create a new invitation for them in the invitation management window.
The customer invitation email
When a customer portal invitation is created, an email is automatically sent to the customer on behalf of the agent. The email subject depends on the customer’s role.

The invitation email includes:
- A brief description of what My Pages includes
- Log in to My Pages button, which opens the customer portal login page
- Instructions to contact their agent if needed
Good to know: The content of the invitation email is the same for all customers and cannot be edited per listing. The customer’s role automatically affects the email subject and some of the wording in the message.
Logging in with a PIN code
The customer can view listing details only after verifying their identity. Verification is done using a single-use PIN code sent to the customer by email.
Login page
When the customer opens the link in the invitation email, they are taken to a login page titled Log in to My Pages. The page explains that logging in requires a one-time PIN code, which will be sent to the customer’s email address.
Requesting and entering the PIN code
- The customer selects Send one-time PIN code
- They receive an email with the subject Verification code containing a 6-digit code
- The customer enters the code in the Enter verification code field
- By selecting Verify, the customer logs in
If the PIN code doesn’t arrive or expires before it can be used, the customer can request a new code by selecting Send new code.
Good to know: The PIN code is always sent to the customer’s email address. Verification codes sent via text message are not currently supported.
Login lockout
If the PIN code is entered incorrectly several times in a row, login will be temporarily locked for security reasons. The customer will be informed how long the lockout will remain in effect.
After the lockout ends, the customer can request a new PIN code and log in normally.
Validity of the link, code, and session
A customer’s access to the customer portal involves three different validity periods, which are good to distinguish from each other:
- Invitation link remains valid as long as the invitation is valid and the listing is available to the customer. The link does not expire automatically after a set period of time. If the link no longer works, the usual reason is that the invitation has been removed or the listing is no longer available to the customer.
- PIN code is single-use and valid for about 10 minutes from being sent. If the code expires or isn’t used in time, the customer can request a new one from the login page.
Login session remains valid for about two hours after a successful login. After that, the customer must request a new PIN code and log in again.
Good to know: If the customer sees a notification that the link has expired, the usual reason is that the invitation has been removed or the listing is no longer available to the customer. If needed, you can create a new invitation for the customer from invitation management.
Most common issues
Most invites and logins work without any issues. Below you’ll find the most common problem situations and how to resolve them.
The customer can’t find the invitation email
- Check that the customer’s email address is entered correctly in the customer details in Linear.
- Ask the customer to check their spam/junk folder as well.
- Resend the invite from the management window in the Client portal section.
- If the issue persists, contact Linear Customer Support.
The customer doesn’t appear in the invite list
Check the customer details:
- the customer type is set to a private individual (the customer portal is not yet available for business customers or estates of the deceased)
- an email address has been saved for the customer
- the customer is linked to the listing as a seller, buyer, or potential buyer
The PIN code doesn’t arrive
- Ask the customer to check their spam/junk folder as well.
- Make sure the customer’s email address is correct.
- Ask the customer to select Send new code on the login page.
The PIN code isn’t accepted
The most common reason is that the PIN code has expired (valid for about 10 minutes), or the login has been locked due to multiple incorrect attempts.
- Ask the customer to request a new PIN code.
- Encourage them to enter the code as soon as it arrives.
- If the login is locked, wait for the lock to expire and try again.
The customer had to log in again shortly after logging in
The login session is valid for about two hours. After that, the customer must request a new PIN code and log in again. This is a normal part of the client portal’s security.
The invite link doesn’t work
The invite link does not expire automatically. If the link no longer works, the usual reason is that the invite has been removed or the listing is no longer available to the customer. If needed, you can create a new invite for the customer.
The customer wants to log out on all devices
Remove the customer’s invite in the management window in the Client portal section. This will immediately end all active login sessions for the customer.
If you want to give the customer access again later, create a new invite for them.
Frequently asked questions
Does the customer need to register in Linear?
No. The customer receives an invitation link by email and logs in to the client portal using a one-time PIN code. No registration or online banking credentials are required.
Can the customer use the same invitation link again later?
Yes. The invitation link remains valid as long as the invitation is valid and the listing is available to the customer. However, each time the customer logs in, they must request a new one-time PIN code.
Why is a PIN code required for logging in?
The listing details may contain confidential information, so viewing them requires verification. A one-time PIN code ensures that only the intended person can access the information, even if the invitation link is accidentally forwarded to someone else.
Will the verification code be sent via text message?
No. The verification code is always sent to the customer’s email address.
How long does the customer’s session remain valid?
Approximately two hours. After that, the customer must request a new PIN code and log in again.
Can the same customer have more than one role in the portal?
Yes. The same person can, for example, be the seller for one listing and the buyer for another. A separate invitation and invitation link are created for each listing.
Can I edit the content of the invitation message?
Not at the moment. The invitation message is the same for all customers and can’t be edited per listing. The customer’s role automatically affects the email subject line and some of the wording in the message.
What happens when I delete an invitation?
The customer’s access to the customer portal ends immediately, and all active login sessions are closed. If you want to grant the customer access again, create a new invitation for them.
Can I see when the customer has visited the portal?
Not at the moment. There is currently no customer-specific visit log visible to the agent in the customer portal.
