This article explains what information customers can see in the customer portal after logging in. The content of the view depends on the customer’s role, so the seller and buyer views differ slightly from each other.
Most of the content is shared. Both sellers and buyers can, for example, view the property details, showings, and documents shared with them. However, some tabs are role-specific, and purchase offers are only visible to the customers they belong to.
Overview
After logging in, the customer is taken to the view of the relevant property. At the top of the page, the property address, the customer’s name, and the Log out button are displayed.
The customer portal content is divided into tabs. The visible tabs depend on the customer’s role. Below is a summary of which tabs are shown to sellers and buyers.
| Tab | Seller | Buyer |
| Property information | Yes | Yes |
| Sales tracking | Yes | No |
| Visitor statistics | Yes | No |
| Buying process | No | Yes |
| Showings | Yes (all showings) | Yes (their own showings) |
| Files | Yes | Yes |
| Checklist | Conditional | Conditional |
The Checklist tab is only shown in Finland and only when there is content available for the customer. More information can be found later in this article.
Tabs shared by all users
Property information
The Property information tab is the main view of the customer portal. It brings together the key details of the property and largely corresponds to the public property listing.
The tab displays, for example:
- images
- basic property information (address, number of rooms, floor area, year of completion, condition, etc.)
- price and cost information
- expandable sections such as Location, Property presentation, Facilities and materials, Additional information, Housing company and property, and Renovations
- the agent’s contact information
- links to the property’s public listings (for example Oikotie and Etuovi), if the property has been published on those services.
Showings
The Showings tab displays upcoming and past showings for the property. Each showing includes the following information:
- start and end time
- showing type
- presenter
- number of registered attendees.
The visibility of showings differs by role:
- Seller sees all upcoming and past showings for the property.
- Buyer sees upcoming showings and any private showings they have been invited to. Past public showings are not displayed to the buyer.
Good to know: If a buyer cannot see a particular showing, this is usually due to these visibility restrictions and not an error. Sellers always see the full showing history.
Files
The Files tab contains documents shared with the customer. For each file, the customer can see the Name, Time, Size, Type, Source, and, if applicable, the signature status. Files can be opened in the browser using the Preview function or saved to the device using the Download function.
Source indicates how the file was delivered to the customer, for example Shared via link, Sent as an email attachment, Signature process, or Purchase offer signature.
Good to know: Customers only see files related to their own process: documents shared with them, documents from their own signature process, and attachments related to their own purchase offer. If there are multiple buyers for the property, each buyer only sees their own files.
If no files have yet been shared with the customer, the tab displays the message No files received yet.
Checklist
The Checklist tab brings together useful reminders and any partner benefits available, such as Fortum’s electricity contract benefit and information about IF’s legal expenses insurance.
The tab is visible to the customer only when both of the following conditions are met:
- The property is located in Finland
- At least one Checklist content item is enabled. This means that the company has the Fortum benefit and/or IF legal expenses insurance enabled.
Partner benefits include a notice about commercial cooperation. More information about enabling the benefits can be found in the customer portal setup instructions.
Seller view
In addition to the tabs shared by all users, the seller view includes two seller-specific tabs: Sales tracking and Visitor statistics.
Sales tracking
On the Sales tracking tab, the seller can follow purchase offers received for the property. The tab displays all offers that have progressed beyond the draft stage. Each offer shows, for example:
- the offer title (e.g. Offer from buyer or Counter offer by buyer) and, if needed, the buyer identifier (Buyer #1, Buyer #2)
- the offer status
- the date and validity period
- the offer amount
- offer attachments, which can be opened or downloaded.
If no purchase offers have yet been received for the property, the tab displays the message No purchase offers received yet.
Visitor statistics
On the Visitor statistics tab, the seller can track visitor numbers for the property’s public listings. The time period to review can be selected directly on the tab.
Good to know: Visitor statistics are currently based only on the Oikotie property listing. For example, visitor statistics from Etuovi or the agency’s own website are not currently available in Linear. If the property has not been published on Oikotie or visitor data has not yet accumulated, the tab displays the message Statistics are not yet available.
Buyer view
In addition to the tabs shared by all users, the buyer view includes one buyer-specific tab: Purchase process.
Purchase process
On the Purchase process tab, the buyer can track the progress of their own purchase offer. The tab displays only the buyer’s own offers and any related counteroffers from the seller. Offers or information from other buyers are not shown.
Each offer shows:
- the offer title (e.g. Submitted offer, Submitted counteroffer or Seller's counter offer)
- the offer status
- the date and validity period
- the offer amount
- offer attachments, which can be opened or downloaded.
If no purchase offers have yet been created for the buyer, the tab displays the message No purchase offers received yet.
Good to know: In the customer portal, the buyer only sees offers and documents related to their own offer process. Offers from other buyers or their contents are never shown.
Visibility of purchase offers and prices
The visibility of purchase offers is governed by two principles that are good to understand. They explain why the customer can see certain offers or why the offer amount may not yet be visible.
Which offers are visible
- Seller can see all purchase offers for the listing that have progressed beyond the draft stage. Offers in Draft status or cancelled offers are not shown.
- Buyer can only see their own purchase offers and any counteroffers related to them from the seller. Offers from other buyers are not shown.
When the offer amount is shown
The offer amount is only displayed when it is appropriate for the stage of the offer process, for example when the offer is awaiting signatures or after it has been signed. The offer amount may not yet be visible in draft status or in an unfinished counteroffer.
Good to know: If the customer is wondering why the offer amount is not yet visible, the reason is usually related to the current stage of the offer process. The offer amount will appear automatically once the offer progresses to the next stage in Linear.
Mobile use and language
The customer portal can be used on both computers and mobile devices. The customer opens it via the My pages invitation link, which automatically opens in the device's default browser (for example Chrome, Safari, Edge, or Firefox). No separate application is required.
The language of the customer portal is determined by the language set in the customer's CRM information.
Most common issues
Most customer portal views work as expected. Below you can find the most common situations that may appear to be errors but are actually part of the normal functionality of the customer portal, along with instructions for resolving them.
The buyer cannot see their offer
- Check whether the offer is still in draft status. Drafts are not shown in the customer portal.
- Make sure the offer has been created under the correct customer's name.
- Ask the customer to refresh the view by reopening the customer portal.
The seller cannot see all offers
The seller can see offers that have progressed beyond the draft stage. Incomplete drafts and cancelled offers are not shown. Once the offer status progresses in Linear, it will appear on the Sales tracking tab.
Visitor statistics are empty
Visitor statistics currently only display visitor data from Oikotie property listings. If the listing has not been published on Oikotie or visitor data has not yet been collected, the tab may appear empty. The statistics update automatically once data becomes available.
The buyer cannot see a viewing
The buyer is shown upcoming viewings and any private viewings they have been invited to. Past public viewings are not shown to the buyer. The seller can see all viewings for the listing.
A document is missing for the customer
- Make sure the document has been shared with the customer.
- Share the document with the customer if it has not yet been shared.
- Ask the customer to reopen the customer portal so the view refreshes.
The checklist is not visible to the customer
Check that the listing is located in Finland and that at least one Checklist feature is enabled (Fortum benefit or IF legal expenses insurance). More information can be found in the customer portal setup instructions.
The customer can still see the listing even if it has been sold or archived
The customer’s access to the customer portal does not end automatically when the listing is sold or archived. If you want to prevent the customer from accessing the listing, remove their customer portal invitation from invitation management.
Frequently asked questions
Can the buyer see other buyers’ offers?
No. The buyer can only see their own purchase offer and any related counteroffers from the seller. Other buyers’ offers or information are not shown.
Can the seller see who made the offer?
The seller can see the offer identifier (for example, Buyer #1 or Buyer #2), the offer status, date, and offer amount. As with other buyers, offers are distinguished from each other using identifiers.
Can the customer download documents for themselves?
Yes. The customer can preview files in the browser or download them to their own device from the Files tab.
Does the view update if I make changes in Linear?
Yes. The customer will see the changes the next time they open the customer portal.
What does the customer see if the listing is sold or archived?
The customer can still view the listing details using the same invitation link. Access to the customer portal does not end automatically when the listing status changes. If you want to prevent the customer’s access, remove their invitation.
Does the portal support languages other than Finnish?
Yes. The language of the customer portal is determined by the language set in the customer’s CRM information.
