This article explains what information a customer can see in the Customer Portal after logging in. The content of the view depends on the customer’s role, so the seller and buyer views differ slightly.
Most of the content is shared. For example, both the seller and the buyer can see the listing details, showings, and documents shared with them. However, some tabs are role-specific, and purchase offers are only shown to the customers they belong to.
Overview
After logging in, the customer is taken to the view for that specific listing. At the top of the page, the listing address, the customer’s name, and the Log out button are shown.
The Customer Portal content is organised into tabs. The tabs shown depend on the customer’s role. Below is a summary of which tabs are visible to the seller and the buyer.
| Tab | Seller | Buyer |
| Listing details | Yes | Yes |
| Sales tracking | Yes | No |
| Visitor statistics | Yes | No |
| Buying process | No | Yes |
| Showings | Yes (all showings) | Yes (own showings) |
| Files | Yes | Yes |
| Checklist | Conditional | Conditional |
The Checklist tab is only available in Finland, and only when there is content to show the customer. You can find more details later in this article.
Tabs visible to everyone
Listing details
The Listing details tab is the main view in the Customer Portal. It brings together the most important information about the listing and largely corresponds to the public listing presentation.
The tab shows, for example:
- photos
- basic details (address, number of rooms, floor area, year built, condition, etc.)
- price and cost information
- expandable sections such as Location, Property presentation, Facilities and materials, Additional information, Housing company and property as well as Renovations
- the agent’s contact details
- links to public listing sites (e.g. Oikotie and Etuovi), if the listing has been published there.
Showings
The Showings tab displays the listing’s upcoming and past showings. For each showing, the following information is displayed:
- start and end time
- showing type
- agent/host
- number of registered attendees.
The visibility of showings differs by role:
- Seller sees all upcoming and past showings for the listing.
- Buyer sees upcoming showings and any private showings they have been invited to. Past public showings are not shown to the buyer.
Good to know: If a buyer can’t see a particular showing, it is usually due to this limitation, not an error. The seller always sees the full showing history.
Files
The Files tab contains documents that have been shared with the customer. For each file, Name, Time, Size, Type, Source and, if applicable, signature status are shown. The file can be opened in the browser using Preview, or saved to the device using Download.
Source indicates how the file was delivered to the customer, for example Shared via link, Sent as an email attachment, Signing process or Purchase offer signing.
Good to know: Customers only see files related to their own process: documents shared with them, documents in their own signing process, and attachments to their own purchase offer. If there are multiple buyers for the listing, each buyer only sees their own files.
If no files have been shared with the customer yet, the tab displays the message No files received yet.
Checklist
The Checklist tab brings together useful reminders and any partner benefits, such as Fortum’s electricity contract benefit and information about IF’s legal expenses insurance.
The tab is shown to the customer only when both of the following conditions are met:
- The listing is located in Finland
- At least one Checklist item is enabled. This means the company has the Fortum benefit and/or IF legal expenses insurance enabled.
Partner benefits include a notice about commercial cooperation. For more information on enabling these benefits, see the Customer Portal setup guide.
Seller view
In addition to the tabs visible to everyone, the seller view includes two seller-specific tabs: Sales tracking and Visitor statistics.
Sales tracking
On the Sales tracking tab, the seller can follow purchase offers received for the listing. The tab shows all offers that have progressed past the draft stage. For each offer, for example, the following is shown:
- The offer title (e.g. Offer by buyer or Counter offer by buyer) and, if needed, the buyer identifier (Buyer #1, Buyer #2)
- The offer status
- The date and validity period
- The offer amount
- Offer attachments that can be opened or downloaded.
If no purchase offers have been received for the listing yet, the tab shows the message No purchase offers received yet.
Visitor statistics
On the Visitor statistics tab, the seller can track visitor counts for the listing’s public ads. You can select the time period directly on the tab.
Good to know: At the moment, visitor statistics are based only on the listing ad on Oikotie. For example, visitor statistics for Etuovi or the brokerage’s own website are not currently available in Linear. If the listing has not been published on Oikotie or no visitor data has been collected yet, the tab shows the message No statistics available yet.
Buyer view
In addition to the tabs common to everyone, the buyer view includes one buyer-specific tab: Buying process.
Buying process
On the Buying process tab, the buyer can follow the progress of their own purchase offer. Only the buyer’s own offers and the seller’s counteroffers related to them are shown. Offers or information from other buyers are not displayed.
For each offer, the following is shown:
- The offer title (e.g. Offer made, Counteroffer made, or Counter offer by seller)
- The offer status
- The date and validity period
- The offer amount
- Offer attachments that can be opened or downloaded.
If no purchase offers have been created for the buyer yet, the tab shows the message No purchase offers received yet.
Good to know: The buyer only sees offers and documents related to their own offer process in the customer portal. Offers from other buyers—or their contents—are never shown.
Visibility of purchase offers and prices
The visibility of purchase offers is governed by two principles worth knowing. They explain why the customer sees certain offers—or why the offer amount is not visible yet.
Which offers are shown
- The seller sees all purchase offers for the listing that have progressed beyond the draft stage. Offers in Draft status or cancelled offers are not shown.
- The buyer sees only their own purchase offers and the seller’s related counteroffers. Offers from other buyers are not displayed.
When the offer amount is shown
The offer amount is shown only once it makes sense for the offer process—for example, when the offer is awaiting signatures or after it has been signed. The offer amount may not be visible yet in draft offers or in an unfinished counteroffer.
Good to know: If a customer is wondering why the offer amount is not visible yet, the reason is usually the current stage of the offer process. The offer amount will appear automatically when the offer moves to the next stage in Linear.
Mobile use and language
The customer portal can be used both on a computer and on a mobile device. The customer opens it from the My pages invitation link, which opens automatically in the device’s default browser (for example Chrome, Safari, Edge, or Firefox). No separate app is required.
The language of the customer portal is determined by the language set in the customer’s CRM details.
Most common issues
Most customer portal views work as expected. Below are the most common situations that may look like an error but are part of the portal’s normal behaviour, along with instructions for resolving them.
The buyer cannot see their offer
- Check whether the offer is still in draft status. Drafts are not shown in the customer portal.
- Make sure the offer was created in that customer’s name.
- Ask the customer to refresh by reopening the customer portal.
The seller cannot see all offers
The seller sees offers that have progressed beyond the draft stage. Incomplete drafts and cancelled offers are not shown. When the offer status progresses in Linear, it will appear on the Sales tracking tab.
Visitor statistics are empty
Visitor statistics currently show visitor data only for the listing ad on Oikotie. If the listing has not been published on Oikotie or no visitor data has been collected yet, the tab may be empty. The statistics update automatically as soon as data is available.
The buyer can’t see a showing
The buyer is shown upcoming showings and any private showings they’ve been invited to. Past public showings are not shown to the buyer. The seller can see all showings for the listing.
A document is missing for the customer
- Make sure the document has been shared with that customer.
- Share the document with the customer if it hasn’t been shared yet.
- Ask the customer to reopen the customer portal so the view refreshes.
The checklist isn’t visible to the customer
Check that the listing is located in Finland and that at least one Checklist item is enabled (Fortum benefit or IF legal expenses insurance). For more information, see the customer portal setup instructions.
The customer can see the listing even though it has been sold or archived
A customer’s access to the customer portal does not end automatically when a listing is sold or archived. If you want to prevent the customer from accessing the listing, remove their customer portal invitation in invitation management.
Frequently asked questions
Can the buyer see other buyers’ offers?
No. The buyer only sees their own offer to purchase and the seller’s counteroffers related to it. Other buyers’ offers or information are not shown.
Can the seller see who made an offer?
The seller sees the offer identifier (for example, Buyer #1 or Buyer #2), the offer status, date, and offer amount. As with other buyers, offers are distinguished from each other using these identifiers.
Can the customer download documents for themselves?
Yes. The customer can preview files in the browser or download them to their own device from the Files tab.
Does the view update if I make a change in Linear?
Yes. The customer will see the changes the next time they open the customer portal.
What does the customer see if the listing is sold or archived?
The customer can still see the listing details from the same invitation link. Access to the customer portal does not end automatically when the listing status changes. If you want to prevent access, remove their invitation.
Does the portal support languages other than Finnish?
Yes. The customer portal language is determined by the language set in the customer’s CRM details.
