The following steps in the process require a signature performed directly or indirectly via Linear:
- Engagement agreement
- Property disclosure / Housing information form
- Purchase offer
- DIAS deed of sale
- Lease agreement
Signatures can be completed manually, electronically, or as a combination of manual and electronic signatures.
Electronic signature
For electronic signatures, Linear utilizes Signicat's digital strong authentication, which works with online banking credentials and mobile certificates.
Note: Linear does not currently support any other electronic signature methods, such as those used by guardians or legal representatives.
When a document is sent for signing, the client receives an email containing a link to the Signicat signing service. There, the client must review all documents to be signed and confirm that they have read them before they can complete the signature.
The agent will receive an email notification when all parties have signed. The agent can also track the progress of signatures in Linear. Additionally, they can resend signature requests to people who have not yet signed by clicking "Resend signature links".
Alternatively, the agent can click the small icon next to the text "Waiting for signature", which copies the signing link to their clipboard, allowing them to send it to the client using another channel (e.g. email or WhatsApp).
If no deadline is set for the signature (as is done with purchase offers), the electronic signature link is valid for 30 days. After this, if the client attempts to sign, they will receive a message stating that the link has expired: "The documents are not available". The same error message will appear if the client tries to authenticate to sign a document that they have already signed previously.
Note: If the electronic signing process is canceled (see below), the signature links will no longer work thereafter.
Manual signature
A manually signed document must be scanned and uploaded to Linear, after which it will be stored in the archive. The document can be uploaded to the appropriate section on the property card, for example under the engagement agreement or the property disclosure tab.
Combination of manual and electronic signatures
Engagement agreements, property disclosures / housing information forms, purchase offers, and lease agreements support so-called mixed signing.
It is recommended that the document is first electronically signed by all parties who are able to do so. After this, the agent should click the Cancel and download contract button. This allows the partially signed document to be downloaded from Signicat, printed, and taken to the remaining parties for manual signing.
DIAS Transactions
DIAS transactions for housing company shares are signed in the DIAS service.
In DIAS transactions for real property, the authorizations are signed in the DIAS service and the actual deed of sale is signed in the Property Transaction Service.
Power of attorney and other documents
Various documents requiring a signature, such as powers of attorney, can be sent for electronic signing through Document Management.
